Taboola Agency Account Handoff Checklist: Access, Funding and Launch

Taboola account handoff flow from eligibility and agreement to access, funding and launch
Confirm the operating chain before funds or campaigns move.

An agency-supported Taboola setup adds an operating layer between the advertiser and the media platform. That layer can help with onboarding, cross-border funding, billing and routine account operations—but only when responsibilities are explicit.

Do not treat “account ready” as a complete handoff. Before the first payment or campaign, the buyer should know which advertiser is approved, who contracts and invoices, what access the team receives, how funding becomes usable balance, who owns tracking and where urgent problems go.

1. Confirm the advertiser and scope

A supplier’s acceptance is not the same as platform approval. Record which checks are complete and which still depend on Taboola or an upstream partner.

2. Map the contracting and support chain

RoleName / entityEvidence to retain
Advertiser[ ]Business details and website
Contracting provider[ ]Signed agreement and service scope
Invoice issuer[ ]Invoice details and currency
Payment recipient[ ]Verified payment instructions
Account operations contact[ ]Support channel and service hours
Campaign owner[ ]Named person or team

If different entities contract, invoice and collect payment, require a written explanation. Verify any changed payment instruction through an established contact before sending funds.

3. Define access and ownership

Record the account identifier, the access granted to each buyer, and which actions remain with the provider. Avoid sharing passwords or one-time authentication codes. The handoff should answer:

“Full access” is too vague for internal approval. Write the actual roles and boundaries visible in the account.

4. Identify the billing model

Realize’s help center describes three main payment schedules: automatic billing, prepayment billing and monthly invoice billing. Monthly invoice billing requires approval and a credit check. Prepayment requires funds before campaigns run. Automatic billing uses a credit card and a billing increment. Availability and account-specific terms need to be confirmed for the advertiser.

An agency-supported commercial arrangement may not mirror a direct Taboola billing setup. The supplier should state, in writing, the amount the buyer pays, the amount of usable media balance created, the service charges, the invoice issuer and the reconciliation source.

5. Run the first-funding control

  1. Approve the amount, currency and beneficiary against the contract and invoice.
  2. Save the transfer reference and send it through the agreed support channel.
  3. Record when the provider confirms cleared funds.
  4. Verify the correct advertising account receives the expected usable balance.
  5. Reconcile deductions such as processing, conversion or service charges.
  6. Do not send a second payment to solve a missing balance until the first transfer is traced.

Realize notes that card-processing treatment differs by billing arrangement: for some non-self-service card payments a regional processing fee may apply, and the fee can be added to spend or deducted from prepaid funds. Confirm the current rule for the actual account rather than applying a generic percentage.

6. Validate tracking before media spend

The campaign owner and measurement owner should jointly record the destination URL, naming convention, conversion event, analytics source and test evidence. If an agency only supplies account operations, it should not silently become responsible for campaign performance or the advertiser’s analytics setup.

Campaign owner: [ ]
Tracking owner: [ ]
Primary event: [ ]
Test conversion completed: [yes / no]
UTM and naming convention: [ ]
Reporting timezone and currency: [ ]

7. Set support and escalation rules

Record ordinary support hours, after-hours contact, expected acknowledgement, and the escalation path for funding delays, access problems, policy reviews and reporting discrepancies. A 24/7 advertising operation needs a written weekend plan even if the provider does not offer round-the-clock service.

Separate provider-owned issues from platform decisions. A provider can coordinate evidence and escalation, but it cannot guarantee approval, override policy enforcement or promise a recovery time controlled by the platform.

8. Obtain a signed handoff record
