What a Redacted Ad Account Service Sample Should Show

A supplier sample should help a buyer understand how the service works without exposing another advertiser’s confidential data. That sounds simple, but many sample packs fail in one of two ways: they are so heavily blurred that nothing can be verified, or they reveal account IDs, contact details, campaign data, bank information, or credentials that should never have been shared.

The useful middle ground is a redacted evidence pack. It preserves the fields needed to judge ownership, access, billing, reconciliation, and support while removing client-specific information. The goal is not to prove that every future transaction will be identical. It is to show that the supplier has a documented operating process that a buyer can question and contract around.

Start with the account model, not a dashboard screenshot

Ask the supplier to label the sample as one of three models: an advertiser-owned account with partner access, a supplier-created account, or an account operated through a manager or business center. The sample should show the platform name, the type of relationship, the visible role or permission level, and the date captured. Account and customer IDs may be masked.

This distinction matters. Google explains that users can be granted, edited, or removed from an Ads account, while a manager account may have ownership only when the client enables it. TikTok similarly distinguishes requesting access to an account from owning it, and exposes different permissions for Admin, Operator, and Analyst roles. A screenshot that shows only a campaign list does not answer who controls access or what happens at exit.

The four-document sample request

Request one privacy-safe example from each area below. Ask for the document date and whether the example reflects the supplier’s current workflow.

  1. Access record. Keep the platform, relationship type, role, account status, and capture date visible. Redact account IDs, personal email addresses, and client names unless the client has authorized disclosure.
  2. Invoice structure. Keep the legal payee, billing currency, charge labels, tax fields, fee labels, and billing period visible. The amount may be replaced with a neutral placeholder. Bank details and another buyer’s identity should be removed.
  3. Funding or reconciliation record. Keep the opening balance, funded amount, spend or usage field, adjustments, closing balance, currency, and reconciliation period visible. Values may be replaced consistently, but the arithmetic and field relationships should remain understandable.
  4. Support and escalation workflow. Keep the issue category, responsible role, escalation path, status stages, and closure criteria visible. Remove employee and client contact details, ticket IDs, and any campaign data.

A safe redaction matrix buyers can send

Sample areaKeep visibleRedact or replace
Account accessPlatform, relationship, role, status, dateAccount ID, email, client name
InvoiceLegal payee, currency, line-item labels, periodBank details, buyer identity, exact amount
ReconciliationBalance logic, adjustments, dates, currencyAccount ID, campaign data, client values
EscalationOwner role, route, stages, closure ruleNames, contacts, ticket ID, client evidence

When numbers are replaced, require internal consistency: opening balance plus funding, minus usage and adjustments, should still reconcile to closing balance. A sample with random replacement numbers is visually safe but operationally useless.

What not to accept

Do not accept a logo collage, a cropped dashboard with no date or permission context, or a claim that confidentiality prevents the supplier from showing any process at all. Also do not request credentials, unredacted client reports, card details, or personal information. Google’s own third-party complaint form warns users not to include confidential or sensitive information even when supplying supporting documents.

A sample is evidence of a workflow, not evidence of guaranteed supply, pricing, policy approval, or future performance. Validate commercial terms separately with a structured RFQ, then normalize the quotes using the total-cost comparison method.

Five questions to ask during review

If the supplier cannot answer from the sample, record the gap rather than filling it with assumptions. The best sample pack makes uncertainty explicit and gives procurement a clean list of contract points.
